4.8 Recruitment Settings

The settings found in this section relate to the way you recruit staff for your job bookings. You can setup requirements, inductions, and other pre-requisites for recruitment before a staff can be accepted as a crew.

Similar with 4.7 Compliance Settings, the Recruitment Settings need to be activated first. You can request Personnel Manager to activate this setting for you.

4.8.1 Recruit Settings

SETTINGS:

In the above settings we have:

1. Check on the box of Display Recruits Sign Up on Login Page.

2. Check on  the box of Enable Recruits Page under Contracts.

3. Default Super Fund is set as Australian Super Fund.

4. Business Label is set as Business Location.

WHAT WILL BE DISPLAYED BASED ON THE ABOVE SETTINGS:

1. Display Recruits Sign Up on Login Page: If there is a check on the box, it means the button Sign Up will be visible on the Login page.

2. Enable Recruits Page under Contacts: If there is a check on the box, the menu Recruits will appear under Contacts.

Default Super Fund: You can enter the name of the default Super Fund in the text field. This will be the fund that will be displayed by default during the Recruitment process.

4. Business Label: You can enter the name of the Business Label in the text field. This will be the label that will be displayed by default during the Recruitment process. In our Recruit Settings, the label that we enter is Business Location.

4.8.2 Account Details Attachment

SETTINGS:

You can upload files to this section. The uploaded files will be received by the recruit when you use the Account Details Email Invite.

WHAT WILL BE DISPLAYED BASED ON THE ABOVE SETTINGS:

The attachment will be included in this e-mail received by the recruit.

4.8.3 Profile Completed Email

SETTINGS:

The e-mail indicated on the field of Admin Email Address means that this will be the email address that will be use during the course of the recruitment process. If there is an email indicated on the Admin CC Email Address, that address will be copied with the same email during the course of the recruitment process.

4.8.3 Profile Completion Email Attachment

SETTINGS:

WHAT WILL BE DISPLAYED BASED ON THE ABOVE SETTINGS:

When a potential crew member has completed his profile, he will receive an email confirming that profile has been completed. In that e-mail, files will be attached depending on what has been uploaded on the above settings.

4.8.4 Default Activity & Default Category

SETTINGS:

Default Activity: You can select activity from the dropdown menu. The selected activity will be the one displayed during the recruitment process.

Default Category: You can select category from the dropdown menu. The selected category will be the one displayed during the recruitment process.

Insert Activity Details: If there is a check on the checkbox, the details of the activity will be displayed.

In the above settings, General has been selected and the activity details has a check mark.

4.8.6 Recruit Activation Checklist

The activation checklist is a guide for Admin on how to activate a crew. It provides a list of reminders before activating a potential member.

WHAT WILL BE DISPLAYED BASED ON THE ABOVE SETTINGS:

The texts entered on the Recruit Activation Checklist will appear on the Activate tab of Recruitment. The contents can be customized in the settings depending on what is needed. You can enter more texts on this field depending on your requirements.

4.8.7 SMS Content

This is the setting for adding content in SMS. Any contents entered on this field will be displayed on the SMS section under Interview tab. For example, these are the contents that are entered in the SMS Content Settings:

– Initial SMS
– Request for Call Back
– Request to Submit Document

If there is a need for additional SMS, simply click the Add SMS button and a new field will be added. You can add more SMS content depending on your operational requirements.

WHAT WILL BE DISPLAYED BASED ON THE ABOVE SETTINGS:

The content in the SMS Content setting will be displayed in the SMS Section under the Interview tab.

4.8.8 Interview Questions

This is the setting for adding the interview questions. These are the guide questions that will be asked to the potential crew member. You can add more interview questions, if needed and depending on your requirements, by clicking Add Questions. These interview questions will then appear under the Interview tabs.

The content of the Interview Questions setting will be displayed in the Interview Questions under the Interview tab.

4.8.9 Citizenship

Under this setting, you can add different types of Citizenship. The citizenship will be displayed as a dropdown menu in the Recruitment tab of the potential crew member. The sort number dictates on how the order of citizenship is displayed in the dropdown menu. Note that the citizenship status is configured under the Compliance Settings.

Following the citizenship status and sort number from the settings, this is how the Citizenship will be displayed.

4.8.10 Medical Conditions

When there is a check on the box of Enable Medical Conditions, the Info Box will be displayed for the crew. You can also add a label for the info box. In the screenshot below, the label of the info box is “List all previous physical or psychological injuries that may affect your work performance (answer not compulsory):“.

4.8.11 TFND Settings

In the TFND File Upload, if you select YES from the dropdown menu, a upload button will be visible in the Recruitment tab of the potential crew member. Other wise, no button will appear.

With YES selected, the upload button will be displayed in the Recruitment tab of the potential crew member:

4.8.12 Medical Disclaimer Check Boxes

You can add medical disclaimer boxes in the Recruitment tab. Simple click the Add button to a medical disclaimer check boxes. You can also make the medical disclaimer check boxes as mandatory and required by ticking the box of Required.

The medical disclaimer checkboxes will now appear in the Recruitment tab of the potential crew member.

4.8.13 Skills Settings

Any skills you add in this settings will be displayed back to the Recruitment tab of your potential crew member. The potential crew member will then be able to select the  skills that matches his qualifications by ticking on the boxes. For example, in the below screenshots, skills added are White Card, Expo Custom Stands, Expo General Labour, EWP Driver, Forklift Driver and General. All these skills will be displayed for the potential crew member.

The recruitment tab of the potential crew member will have these skills.

4.8.14 Resources Settings

In this setting, you will be able to add resources. From the dropdown menu, select the resource that you want to add then click Save Resources. Resources are configured under the Resources Settings. Before a Resource can be made available in the Recruitment, it needs to be created first in the Resources Settings.

The selected resources will then appear under the Agreements tab in the Policies and Information section. Potential crew member will have to view and accept these resources.

4.8.15 Contract Settings

In this setting, you will be able to add contracts. From the dropdown menu, select the contract that you want to add then click Save Contract. Contracts are configured under the Contract Settings. Before a contract can be made available in the Recruitment, it needs to be created first in the Contracts Settings.

WHAT WILL BE DISPLAYED BASED ON THE ABOVE SETTINGS:

The selected contract will then appear under the Contracts tab. Potential crew member will have to view and accept the contract by affixing their signature.

4.8.16 Disclaimer Check Boxes Settings

You can add disclaimer check boxes that will appear under the Agreements Tab in Agreements Section for the Recruit tab of the potential crew member. To add a disclaimer check box, simply click the Add button and enter the text in the provided field. If you want to make the disclaimer box as a mandatory field, tick the box of Required. Click Save once you are finished adding disclaimer boxes.
